A practice files a request. It lands on the right team, with every answer they gave and every file they attached, already prioritized and dated. That whole path is live this week.
Requests from 260+ practices, work from every HQ team, and the meetings and spreadsheets in between — landing in one system with one status model, at app.sga3p.com/tasks-app.
It started as one. Ops, marketing, brand, web, HR and finance all live here now.
A task can belong to a practice, or to none at all.
You move work to reflect reality. Nothing forces you down a pipeline.
Anything you requested, own, or watch — regardless of team.
Requests used to arrive with no team attached — all 89 routing rules pointed at nothing, and the Team dropdown came back empty. Requests now route themselves by what was asked for.
37 request types. Anything that produces an asset lands with the team that makes assets.
26 request types. Campaign, listing, and practice-data work routes straight to Gen & Spec.
HQ keeps the override. Practices never see a team picker — their request just goes where it belongs. Corporate submitters get an optional Route to team selector, and an explicit choice always beats the automatic one. Leave it blank and auto-routing takes over.
Previously the task showed a flattened description and the rest of the submission sat in a field no one could see. Now the task is the request.
The task drawer has a Request details section that renders the full submission — every question, every answer, in the order it was asked. No more opening the form to figure out what was actually requested.
When a requester marks something High and asks for it by the 30th, that drives the task's priority tier and sets a real due date. Both fields were cosmetic before.
Every request form has an Attachments section. Logos, photos, reference images, existing collateral — they upload with the request and show up on the task's Files. No follow-up email to go collect them.
Public request forms are filled in by people with no login, so uploads used to be impossible there. They now work through a dedicated anonymous upload path — images and PDFs accepted, rate-limited, with executables rejected.
Intake had grown two marketing forms, a set of forms for work the growth team doesn't own, and two different screens both called "Rules."
The duplicate legacy form is retired. The smart-router SGA Marketing Request is now the single marketing entry point.
The admin form catalog is relabeled so it reads as the configuration layer behind Requests, not a second place to submit work.
The trigger/condition/action engine is Automations. The request-type-to-team routing admin is Routing — previously reachable only if you knew the URL.
Category cards are built from the forms that are actually published, so the permanently empty categories are gone and no form gets orphaned. Out-of-scope IT, compliance, HR and vendor forms are retired.
The Practice Data Hub now runs on the SGA Master Crosswalk — the authoritative record that reconciles every practice across Workday, Paylocity, Dentrix, New Sage and Abv. The roster had been running on a stale April snapshot missing roughly 130 rows.
Business unit, division, region, legacy company, practice status and type are now real fields — and Business Unit and Legacy Company are filters in the brand directory.
Reporting can group by Business Unit, Division, Region and Legacy Company, and the practice rankings can chip by business unit and company.
Roughly 50 unlinked Google Ads accounts can now be matched to practices automatically. Unambiguous matches bind on their own; near-matches are offered as ranked suggestions for a human to confirm — never bound silently.
Counts you can trust. Corporate, holdco, lab, accounting and test records are now tagged and excluded from practice rosters and counts by default, so "how many practices" finally returns the same number everywhere.
Every submission is scored 0–100 the moment you write it. The score asks one question: can the owner start without pinging you back? It never blocks you — submit always works — but a low score is the system telling you the request will sit.
Avoid the generic verbs. Redo, fix, help with, look into — none of them describe a finished thing, and they are the strongest predictor of a low score.
Open it, see what matters, move work, close the laptop. If you're new to SGA Tasks — or you used the old build — this is the shortest path to being fluent.
Team is who does it. Tag is what discipline it is. Project is why it exists. Sprint is when it happens. Practice is who it's for — leave it empty for internal HQ work.
Every task you own lands in exactly one bucket — quick fixes, today's main work, waiting, approval, coming up, polish. You never file anything. Read the summary line first: “1 quick fix · 1 in motion · 2 to do” is your whole day in eight words.
The + Add a task box sits on every list, team and project, and stays focused so you can rattle off five in a row.
Paste multiple rows and a preview opens. Columns are positional — Title, Description, Due, Priority.
.xlsx or .csv. Your headers are mapped to fields with a confidence score, and nothing is created until you confirm.
For work another team will do. The form asks exactly what that request type needs, then routes it with an SLA attached.
One shortcut is worth learning: ⌘K / Ctrl K from anywhere jumps to any project, team or tag. Esc closes any palette, popover or drawer. Double-click a task title in List view to rename it in place.
Worth saying plainly, because these are the assumptions that cost people time. The sharp edges get filed down as they're reported.
| Request category | Target response | Owning team |
|---|---|---|
| Marketing & Paid | 48 hours | Gen & Spec |
| Web & Practice Ops | 3 business days | Studio / Gen & Spec |
| Studio / Creative | 5 business days | Studio |
| Brand | 5 business days | Studio |
Most of these came straight from people using the tool and telling us what was broken. Thank you — that's the fastest path we have.
| What was happening | Where it stands | Raised by |
|---|---|---|
| Assigning to real staff didn't work — searching "Kelly" returned no people | The assignee and owner pickers now list actual active staff. Demo "View as" personas are excluded, so work can't be routed to an example account. | Multiple |
| File uploads on tasks and projects failed for every file | Uploads work again, including PDF, CSV, Excel, Word and zip. | L&D team |
| Task names invisible in the project list on a laptop screen | The Task column has a guaranteed minimum width and titles wrap to two lines instead of being squeezed away. | Amy McNeill |
| Grouping a project's task list didn't do anything useful | Project task lists now group by status by default, and group headers show team names rather than raw IDs. | Amy McNeill |
| Internal form pages rendered blank for signed-in users | Fixed. The pages load normally. | Multiple |
The tool doesn't create accountability — visible, current, well-written work does. Everything here exists to keep the board honest.
Open My Day. Clear the quick fixes. Check your inbox badge. That's the ritual.
A real title, a due date and a size. Three fields make every view work.
Actually move it to Completed. Stale boards are how teams stop trusting the tool.
Use Requests, and write it so the owner can start today.
Watch it. Don't assign it to yourself as a bookmark.
Clear triage to zero and check the unscheduled tray. Both compound quietly.
